FAQ's
CANCELLATION AND REFUND POLICY:
Your deposit is fully refundable up to one month before the trip. After that, the deposit becomes non-refundable as bookings will have already been made.
Any payments made beyond the deposit are refundable as follows:
- 100% refund if canceled 1 month before the trip
- 75% refund if canceled 2 weeks before the trip
- 25% refund if canceled less than 2 weeks before the trip
In the event of special circumstances, such as serious illness or death that prevent you from traveling, we will assess cancellations on a case-by-case basis to find a fair and compassionate resolution.
If Passport Kulture must cancel the trip for any reason, we will refund 100% of the amount paid.

BOOKING AND PAYMENT
- To secure your spot, ensure that you pay your deposit as quickly as possible by selecting the package you want and then selecting the deposit option and making payment through our site.
- Payment Methods - credit/debit card, eft and Apple Pay also accepted.
- Instalment payments - Yes you may payt in instalments. Simply return to the same package each time and pay the remaining amount. Our payment model caters to a deposit payment and then a subscription payment based on % completion of payment. It will be your responsibility to make the relevant payments over time. We will furnish you with reminders.
- Confirmation emails - you will receive a confirmation email shortly after you make each payment including the deposit. Further trip details will be shared after you have made 75% or more of the payment for a specific trip. This will include the detailed itinerary along with any other information required.
WHO CAN JOIN PASSPORT KULTURE TRIPS?
Anyone is welcome to join our group trips or make use of any of our other services. We cater to solo travellers, small groups not exceeding 8 individuals, and couples too of all ages.
For families please kindly reach out to us via email first so that we can understand your travel needs a little better.
For individuals below the age of 18 years old we will require your parents to fill in a form allowing you to travel. Your parents must also avail themselves to connect with us for further information required for the trip.
You do not have to be South African to join our trips, you can be based anywhere in the world.
If you are looking to do a group trip for a group larger than 8 people please reach out to us on email.
All we ask of everyone who joins our trips is to remember that there will be other people on the group trips and to show kindness and consideration to everyone so that we can have a memorable trip.
GROUP CONDUCT AND DYNAMICS
- Group Size - Each trip will have a maximum of 8 people.
- Language - English will be the main language spoken within the groups, however, everyone is welcome to engage with others in any language that is most suitable where both or more parties have an understanding of the language.
- Travel Experience - No travel experience needed. You can be a beginner in travel or an expert, everyone is welcome!
- Expectations - Respect for local cultures, punctuality, and group etiquette. Further briefing will be provided ahead of travel.
CAN I JOIN THE TRIP LATER THAN THE START DATE OR LEAVE EARLY?
Yes. You may join the trip later than the original start date or leave slightly earlier. Note that you may as a result miss out on some activities and attractions. However, if you inform us well in advance we can factor this into the planning so that you get to see the things that interest you most during your time with us.
If a trip is 10 days for example and you are only able to travel for 6 days, just reach out to us on email and we will factor this in.
CAN I PERSONALISE A GROUP TRIP?
We are flexible and we curate our trips so that there is some "off time" in between like half a day for example where you can do your own activities outside of the group itself. This should give you some flexibility and allow everyone an opportunity to self-regulate.
If you require longer breaks in-between for whatever reason, no problem, please just email us and explain the situation so that we can factor this in.
HEALTH AND SAFETY
- Any certifications required will be communicated ahead of time as these are region specific. The costs for these will be on the traveller and not on Passport Kulture.
- Travel insurance is a must and is non-negotiable.
- Should you fall ill while we are travelling, you will be taken to the nearest doctor or hospital depending on severity and please consider that you may need to pay cash and claim this from your insurer. As such ensure that extra cash is on hand. We can suggest an insurer if required. More details and briefing will be provided here post payment.
ACCOMMODATION AND AMENITIES
- You will sometimes have to share a room. If you do not want to share a room at all for the entire duration of travel, please let us know in advance and we can accommodate that but please note that depending on the season, you are likely going to have to pay slightly more for this benefit. An invoice will be furnished for additional costs as these will differ by country and time of year.
- There will be wi-fi and network access in most area. In all areas an e-sim is useable or we may have to purchase local SIM cards. Please cater for this.
PACKING AND PREPARATION
You will be thoroughly briefed on this topic once 75% of the payment has been made. On some trips we may include activities such as hiking but we will communicate any equipment required and where possible we will hire this equipment to avoid additional luggage.
Please ensure that your baggage is always less than 23 kgs as moving around with multiple bags or heavy bags can be difficult.
POST-TRIP
- We would appreciate your review of the trip and we will offer a quick review link after.
- To stay in touch with your group after the fact you may exchange contact details with those who wish to stay connected with you.
- There will be some photos published on our blog and shared on our social media too.
- For each trip you complete, you receive a voucher with a code and you can make use of that voucher towards your next trip to obtain a discount. The more trips you book with us whether it be group trips or tailored itineraries, the more you can benefit from the discounts you accumulate.
